Write and send a newsletter

Write a newsletter in your own brand, choose who gets it, test it and send it.

Newsletters are the regular updates you send to your list: what’s coming up, a story, a photo or two. Every newsletter wears your brand colors, fonts and logo automatically.

Your sending domain needs to be set up first. See Send email from your own domain.

Write it

  1. Open Marketing > Email > Newsletters and press New newsletter.
  2. Give it a Name (only you see this) and a Subject.
  3. Under Start from, pick a layout: Blank, Monthly update, Event invitation, Welcome note, Announcement, Photo feature, Photo story, Monthly recap or Offering spotlight. Press Create.
  4. In the Compose card, add a Preheader: the short preview line people see in their inbox.
  5. Build the email with Blocks: Heading, Text, Image, Photo grid, Button, Divider, Spacer and Event card. The Preview beside it shows exactly what people will see.
  6. Press Save. An amber bar reminds you whenever you have unsaved changes.

Choose who gets it

  1. In the Recipients card, press Add.
  2. Click a tag to select everyone who has it. Click the same tag again to leave those people out, even if they carry another tag you picked.
  3. Untick anyone you want to skip, then press Add at the bottom.

Test and send

  1. Press Send test to me and open it on your phone. Click every link.
  2. Press Send. Or press Schedule to pick a day and time. See Schedule a campaign.

Good to know

  • Prefer to write in a few words? Press Draft with AI, describe the email, and Colibri writes a draft you can edit. It replaces the current subject and content, and it uses your AI actions.
  • Have a designed email from another tool? Switch to HTML and press Upload .html.
  • Only contacts with an email address who agreed to receive emails can be added. People who unsubscribed are skipped automatically.
  • The recipient list is a snapshot. Someone you tag after pressing Add isn’t included.
  • To send a newsletter again, open it, edit it and press Send again. It goes out as a new copy, and the first one keeps its stats.
  • After it goes out, the Engagement card shows opens, clicks and the links people clicked. See Read your email stats.
  • Press Save as template to reuse a design later.
