Track leads with Pipeline and Reminders

Follow each potential client from first hello to booked, and never forget a follow-up.

Pipeline is a board for the people who might book with you, like a retreat inquiry or a corporate wellness lead. Each one is a deal card that moves across stages as the conversation goes. Reminders gathers every follow-up date in one list, so nothing slips.

Set up your stages

  1. Open Marketing > Pipeline and press Manage pipelines.
  2. Add or rename stages to match how you work, for example Inquiry, Call booked, Proposal sent, Booked.
  3. Mark one stage Won and one Lost. Dragging a deal into either one asks you to close it.
  4. Make more pipelines if you need them (one for retreats, one for private clients). Press Make default on the one you use most.

Add and move deals

  1. On the board, press New deal.
  2. Add a Title and pick the Contact. Add an Estimated value and Gathering type if you like. Press Create.
  3. Drag the card to a new stage as things move along.
  4. Click a card to open it. Press Edit to add a Follow-up date, a Follow-up note, tags and notes.
  5. Under Tasks, type the next step, pick a due date and press Add.
  6. When it’s settled, press Mark won or Mark lost.

Check your reminders

  1. Open Marketing > Reminders.
  2. Follow-ups are grouped into Overdue, Due today and Upcoming.
  3. Click one to see the person’s details and take the next step.

Good to know

  • Reminders includes follow-up dates on your deals, deal tasks with a due date, and follow-up dates on your contacts.
  • Use the filters at the top of the board to show one pipeline, one gathering type, or deals with a certain tag.
  • A funnel can drop each new sign-up onto a pipeline as a card. Pick the pipeline when you create the funnel, or later on its Setup tab. See Build a funnel.
  • When you mark a deal won, you can turn the lead into a client at the same time.
  • Your contact list lives under People > Contacts. See Your contact list.
