See and manage registrations

Find everyone signed up for your gatherings, add people by hand, import a list and check people in.

Scheduling > Registrations lists everyone signed up for any of your gatherings, whether they booked on your site or you added them yourself.

Find someone

  1. Open Scheduling > Registrations.
  2. Search by name, email, phone or gathering. Or filter by gathering and by status (Registered, Waitlist or Cancelled).
  3. Click a gathering’s name to open it.
  4. Click Export CSV to download the list you’re looking at.

Add someone by hand

  1. Click Add registration. (On a gathering’s Attendees tab, the same button is called Add attendee.)
  2. Choose the gathering and start typing the person’s name. Pick them from your contacts, or type their details.
  3. Choose Payment: paid outside ColibriOS, still owing, comped, send a payment link, or use their class pass when they have one that covers it.
  4. If they already signed a waiver with you, it fills in on its own. If not, leave Email them the waiver to sign ticked and they get a private link to sign it.
  5. Click Add registration.

Import a list

Click Import CSV, choose the gathering, then click Continue. Your file needs a name column. Email, phone, party size, ticket tier and notes come across too if you have them.

On a gathering’s Attendees tab

  • Check in marks someone as arrived.
  • Edit changes their details or payment. Use Which date to move them to another upcoming gathering, with their answers and signed waiver.
  • Cancel frees their seat and keeps the record and any payment. Put back restores them.
  • Offer seat gives a waitlisted person a place. For a free gathering they’re emailed a confirmation. For a paid one, a pay link is copied for you to send them.
  • Send waiver emails the signing link to anyone whose waiver is still blank.

Good to know

  • Nothing is emailed when you edit, move or cancel someone. Use Email attendees at the top of the gathering page to tell them. That email goes from your own domain, so set it up first: see Send email from your own domain.
  • You can’t remove someone who has paid. Cancel their place instead, so the payment record stays.
  • A signed waiver stays on the client’s account, so returning clients never sign it twice.
