Take a deposit now, the balance later

Let people hold their place at a retreat or workshop with a deposit and pay the rest when they arrive.

For a retreat or a bigger workshop, you can let people hold their place with a deposit. They pay the rest when they arrive, or earlier online if they prefer.

Steps

  1. Open Scheduling > Gatherings and click the gathering.
  2. Open the Pricing tab.
  3. For a new tier, fill in the Tier name, the Price and Deposit (opt.), then click Add tier.
  4. For a tier you already have, click Edit on its row, type the deposit, then click Save tier. Nothing is saved until you press it.

The deposit is per ticket. It has to be more than zero and no more than the ticket price. The tier then reads “deposit, rest on arrival” so you can see it at a glance.

What your attendees see

  • The public page shows the deposit on the tier, and the sign-up button says how much is due now.
  • A line under the button explains that the rest is due when they arrive, on the gathering date.
  • Their place is confirmed once the deposit is paid.
  • The same pay link stays open, so they can pay the balance early if they want.

At the door

  1. Open the gathering’s Attendees tab. Anyone who still owes shows a Balance due badge.
  2. Click Record payment next to their name.
  3. Choose how they paid (cash, check, Venmo, Zelle, card, bank transfer or other) and save. The balance clears.

Good to know

  • Online deposits need Stripe. See Connect Stripe to take card payments.
  • Someone booking two places pays two deposits.
  • If a discount or member price brings the total down to the deposit or less, they simply pay in full.
  • Changing a deposit only affects new sign-ups. People already booked keep what they agreed to.
  • Export CSV on the Attendees tab includes Paid and Balance due columns, and the printed Rooming list shows Balance due too.
  • Want the balance split into several payments instead? See Payment plans you run.
