Track taxes

See your income, deductions and a quarterly tax estimate for the year, and download a pack for your accountant.

The Tax Tracker pulls your year together: income from paid invoices, deductible expenses, your mileage deduction, and a rough quarterly estimate. It helps you stay organized for tax time. It isn’t tax advice, so check with your accountant.

Set it up once

  1. Open Settings > Tax.
  2. Fill in what applies to you:
    • Default invoice tax rate (%): added to new invoices.
    • Custom mileage rate: leave blank to use the official IRS rate for each trip’s date.
    • Fiscal year starts: the month your tax year begins.
    • Income tax rate for estimates (%): your federal plus state rate, used for the quarterly estimate.
    • Quarterly reminder emails: switch on for an email 14 days before each estimated tax due date.
  3. Press Save tax settings.

Mark expenses as deductible

  1. Open Money > Finances and go to the Expenses tab.
  2. Add an expense (or edit one) and tick Tax deductible.
  3. Pick a Category. The tracker groups deductions this way.

Read your Tax Tracker

  1. Open Money > Tax Tracker and pick the year at the top right.
  2. The cards across the top show Income (paid invoices), Deductible expenses, Mileage deduction and your total deductions with an estimated taxable amount.
  3. Quarterly estimated tax shows the next due date and a rough amount, including self-employment tax.
  4. The Summary tab lists deductibles by category. Filter by category or dates, and press CSV to download.
  5. The other tabs are Mileage, Home office (enter your office and home square footage for the deductible percentage) and Staff / 1099.

For your accountant

  • On the Year-end pack for your accountant card, press the download button (it names the year, like Download 2026 pack). You get one zip with your income, invoices, expenses, bank lines, mileage, vendors and a receipts list as spreadsheet files, plus files QuickBooks Online can import. It covers your business books only.
  • Invite your accountant from Settings > Team as Accountant (read-only money). They see the money side only, never your personal books, and can download the pack too.

Good to know

  • Until you set an income tax rate, the quarterly estimate covers self-employment tax only.
  • Mileage you log adds to your deductions on its own. See Log mileage.
  • For the full year laid out the way the Schedule C form asks, see Profit and other reports.
  • Income counts paid invoices. Card payments mark invoices paid on their own; record direct payments yourself. See Take Zelle, Venmo, Cash App, cash or checks.
