Send an invoice
Create an invoice, email it with a pay link, and track what's been paid.
Invoices are for anything you bill by hand: a private retreat, a corporate session, a custom package. Your client gets a pay link and can pay by card or the direct options you’ve added.
Create the invoice
- Open Money > Finances. You start on the Invoices tab.
- Press New invoice.
- Pick the Client. Link a Gathering if the invoice is for one.
- Check the Issued date and set a Due date.
- Under Line items, describe each service with its quantity and rate. Press Add item for more lines, or pick from Add from products.
- Add a Tax rate (%) and Notes if you need them.
- Press Create invoice.
Send it
- Open the invoice from the list.
- Press Email invoice. It goes to the client’s email address with a link to pay. The status changes from draft to sent.
- Or press Copy pay link and send the link yourself by text or message.
- Press PDF if you want a printable copy.
When they pay
- Card payments through Stripe are recorded on their own, and the invoice is marked paid.
- For Zelle, Venmo, cash or checks, press Record payment when the money arrives. See Take Zelle, Venmo, Cash App, cash or checks.
- The cards at the top of the invoice show the Total, Paid, Balance and Status.
Good to know
- The client needs an email address on their contact record before Email invoice works.
- Your invoice PDF carries your logo and brand color from your brand kit automatically. See Set up your brand kit.
- Need a quote first? Choose Estimate under Document when you create it. Your client accepts it from the link, then you convert it to an invoice from the Estimates view.
- Billing the same thing every month? In the invoice list, press the repeat icon (Make recurring), choose how often, the first date and the due terms, and press Start schedule. Your schedules are under Recurring.
- Let a client pay in parts with a payment plan. See Payment plans you run.
- Set your usual tax rate once in Settings > Tax under Default invoice tax rate (%).
- Gave money back? Press Record refund on the invoice so it comes off your income.
- Card payments need Stripe connected. See Connect Stripe to take card payments.
