Log mileage

Log business trips so each one is priced at the IRS rate and counted in your tax deductions.

Driving to a client, a venue scout or a retreat site? Log the trip in ColibriOS. Each trip is priced at the official IRS standard mileage rate for its date, and the deduction adds up in your Tax Tracker on its own.

Log a trip

  1. Open Money > Mileage. The year picker at the top right shows the year you’re looking at.
  2. In the Mileage tracker card, fill in the Date, a Purpose (like “Client visit”) and the Miles.
  3. Driving there and back? Tick Round trip (doubles miles).
  4. Link a Gathering if the trip was for one. This is optional.
  5. Press Add. The trip appears in the list with its miles and deduction.

Add more detail

Press More details under the form to add:

  • From and To locations.
  • Odometer start and Odometer end. The miles are worked out for you.
  • A Vehicle, if you drive more than one. Add your vehicles there once and pick one for each trip.

Bring in trips from another app

  1. Export your trips as a CSV file from your old mileage app.
  2. Press Import and choose the file.
  3. ColibriOS matches the columns, works out distances from odometer readings when that’s all the file has, and leaves out rows with no readable date or distance.

Good to know

  • Rates change each year and sometimes mid-year. ColibriOS keeps them current, so you don’t need to look them up.
  • To use your own rate instead, enter it in Settings > Tax under Custom mileage rate. Leave it blank to go back to the IRS rate.
  • Press CSV to download your trips for the year.
  • Use the icons on a trip to duplicate it (handy for a regular drive), edit it or delete it.
  • Importing the same file twice doesn’t add the trips twice.
  • The same tracker is on the Mileage tab of Money > Tax Tracker, and your mileage deduction shows in the Tax Statement report. See Track taxes.
  • Trips linked to a gathering count against it in the Profit by Gathering report. See Profit and other reports.
