Use tags to group people
Tag contacts by hand or automatically, then use those tags to email the right group or start a funnel.
Tags are short labels you put on contacts, like “spring-retreat”, “newsletter” or “vip”. They let you find a group fast and email just those people.
Tag one person
- Open People > Contacts and click the person’s name.
- Press Tag next to their tags.
- Pick a tag you already use, or type a new one.
- To remove a tag, click the x on its badge.
Tag many people at once
- Open People > Contacts.
- Tick the boxes next to the people you want.
- Press Tag in the bar that appears.
- Pick tags or add a new one, then press Apply.
Tags ColibriOS adds for you
- Anyone who registers for a gathering is tagged with that gathering.
- Anyone who books a 1:1 session is tagged with the session type.
- Students who enroll in a course are tagged with the course title.
- Your sign-up forms and pop-ups can add a tag you choose.
You can also add your own tag to an offering. On a gathering, fill in Tag attendees with (optional). Everyone who registers gets it, on top of the automatic tag. Session types, courses and products have the same option.
Use your tags
- Find people: search by tag, or use the tag filter on People > Contacts.
- Send an email to a group: when you pick who gets a campaign or newsletter, click a tag to select everyone who has it. Click it again to leave those people out (it shows crossed out).
- Start a funnel: a funnel can begin when someone gets a certain tag. See Build a funnel.
Good to know
- Pick from the list when tagging, so you don’t end up with two spellings like “VIP” and “vip”.
- There’s no screen to rename a tag for everyone at once. To change one, tag the group with the new name, then remove the old tag.
- Removing a tag from someone doesn’t undo emails that already went out.
- Tags are different from roles. Roles say who someone is (client, student, staff). Tags say what they’re part of.
