Connect Zapier, Make or N8N

Send new contacts, bookings and sales to your other tools, and bring contacts in from them.

ColibriOS can tell your other apps when something happens, like a new booking or a pack sale. For example, you can invite someone into your Skool group the moment they buy a pack. It works with Zapier, Make and N8N.

Send what happens in ColibriOS to another app

  1. In Zapier, make a new Zap. For the trigger, pick Webhooks by Zapier, then Catch Hook. Copy the link Zapier gives you. (Make and N8N work the same way with their webhook trigger.)
  2. In ColibriOS, open Settings > Zapier and apps.
  3. Paste the link into Link from the other app. Give it a name if you like, such as “Skool invites”.
  4. Under Send when, tick what to send:
    • Someone new is added to Contacts
    • Someone books a 1:1 session
    • Someone signs up for a class or gathering
    • Someone gets a pack
    • Someone is enrolled in a course
    • Someone buys a bundle
  5. Press Add link.
  6. Press Send a sample, then press Test trigger in Zapier so it learns the fields.
  7. Add your action in Zapier, like Skool’s “Invite member”, and turn the Zap on.

Bring contacts in from another app

  1. On the same tab, find Bring contacts in from other apps.
  2. Under Make an incoming link, type a name and the tags to add, then press Make link.
  3. Press Copy address and paste it into ManyChat, Zapier, Make or your form tool as a POST request. The card has step by step ManyChat instructions and an example.

Each person arrives in Contacts with those tags, and any funnel that starts from those tags starts on its own.

Good to know

  • What’s sent out: the person’s name, email and phone, what they booked or bought, when, and the amount. Intake answers and private notes are never sent.
  • Sending to other apps is part of ColibriOS Pro. Only the owner or an admin can set it up.
  • Zapier needs a paid Zapier plan for webhooks.
  • Each link shows when it last sent and whether it worked. Press Turn off to pause one. If ColibriOS has to switch a link off, the reason shows on it, and Turn on starts it again.
  • For incoming contacts, email is the only field you must send. Someone already in your contacts keeps their record: tags are added and nothing is overwritten.
  • Everyone sent through an incoming link counts as agreeing to get your emails, so only send people who asked for something from you, like a free guide.
